Part-Time Accounting Admin Assistant

Location: Irvine, CA (100% On-Site)
Schedule: Part-Time, 20 Hours per Week or more
Comp: $27-30/hr DOE

About the Opportunity

A growing law firm is seeking a detail-oriented and analytical professional to support a critical accounting data cleanup and reconciliation project. This role will focus on identifying, researching, and correcting discrepancies across multiple financial and case management systems following a recent system migration.

This is an excellent opportunity for someone who enjoys working with data, solving complex reconciliation issues, and utilizing advanced Excel skills to identify patterns, variances, and inconsistencies. The position also offers potential for expanded responsibilities and long-term growth based on performance and business needs.

Key Responsibilities

  • Reconcile accounts receivable and financial data across multiple software platforms, including:
    • AppColl
    • Clio
    • QuickBooks
    • Legal Tracker
  • Review and clean up historical accounting and billing data resulting from system migration issues.
  • Investigate and resolve duplicate, missing, or corrupted records.
  • Perform detailed data analysis and forensic-style research to ensure data accuracy and integrity.
  • Create and maintain Excel reports, reconciliation schedules, and tracking tools.
  • Identify trends, patterns, and discrepancies within large data sets.
  • Collaborate with firm administrators and accounting leadership to resolve outstanding data issues.
  • Assist with process improvement recommendations to enhance future data management and reporting accuracy.
  • Support ongoing accounting and operational projects as assigned.

Qualifications

  • Bachelor's degree in Accounting, Finance, Business, Mathematics, Economics, or related field preferred.
  • Prior accounting, bookkeeping, accounts receivable, audit, or financial analysis experience is highly preferred.
  • Strong Microsoft Excel skills required, including:
    • VLOOKUP/XLOOKUP
    • Pivot Tables
    • Data Validation
    • Advanced formulas and data analysis functions
  • Excellent numerical aptitude and analytical thinking.
  • Strong attention to detail and ability to identify anomalies within large data sets.
